The Facility Buyer's Cooling Equipment Checklist: Ice Machines, Portable Coolers, and Heat Pump Trade-Offs

Use this checklist when you're trying to decide between a commercial ice machine, a portable air cooler, a window fan, and a heat pump. It is not a feature-by-feature comparison. It is a way to make sure you buy the right category before you compare brands.

I manage purchasing for a 120-person company. I oversee equipment orders—roughly $80,000 a year across maybe 15 vendors. Maybe 12, I'd have to check. If you report to operations or finance, you know the worst purchase is the one nobody remembers until it breaks.

Step 1: Confirm the actual job

Start with the problem, not the product.

  • If the business needs ice for drinks, you need an ice machine. An air cooler won't make ice.
  • If a small office is too warm, you might need a window fan or a portable air cooler. An ice machine won't cool the room.
  • If the whole building needs both heating and cooling, you might need a heat pump. It's the most complex of the three.

Most buyers focus on the sticker price and completely miss the cost of installation, cleaning, and downtime. The question everyone asks is 'what's the best brand?' The question they should ask is 'what problem am I solving?'

Step 2: If you need ice, start with capacity, cleaning, and service

In my opinion, ice machines are the most under-planned purchase in a facility. A cheap unit can cost thousands in repairs if the water is hard or the cleaning schedule is ignored. When I took over purchasing in 2020, I ordered an ice machine based on the lowest bid. That was a mistake.

Here's the checklist I use now:

  • Daily production: Estimate how many pounds of ice you need during peak service. Don't just look at bin capacity. In our kitchen, I want to say we need 250 pounds on a busy day, but don't quote me on that.
  • Cleaning supplies: You need a cleaner that's safe for food-contact surfaces. For a Manitowoc unit, the manufacturer's recommended product is the Manitowoc ice machine cleaning solution. Under NSF/ANSI 12, commercial ice makers have sanitation requirements.

One more thing: the 'Red Wrench' indicator on some Manitowoc machines is not a death sentence. It means a sensor triggered. In our case, it was a dirty water filter. The service call cost more than the filter. That is why I check cleaning schedules before I compare prices.

Step 3: If you need spot cooling, size the room first

A Chillwell portable air cooler is pretty popular for small spaces. It's an evaporative cooler, so it moves air through a wet pad. In a dry climate, it can make a 100-square-foot office feel more comfortable. In a humid environment, it can add moisture and make things worse.

A window fan is a different tool. It's an exhaust fan, not an air conditioner. It works well when you can pull in cooler evening air, but it won't help a windowless room.

Step 4: What are the disadvantages of a heat pump? (And when they matter)

  • Installation is more involved than a window fan or portable AC. You need an outdoor unit, refrigerant lines, and sometimes a condensate drain. If the unit goes on the roof, the roof has to be safe to walk on and penetrate. Don't assume that a Manitowoc residential roofing contractor will automatically handle commercial roof curbs and flashing. It's a different trade.
  • Heating capacity drops in very cold weather. Most heat pumps lose efficiency as the outdoor temperature drops. Some cold-climate models are better, but you still need to check the manufacturer's low-temperature performance table. The AHRI 210/240 rating is a start; your actual winter design temperature matters more.
  • Upfront cost is higher. The unit itself is expensive, and the labor adds up.
  • Noise can be a complaint. The outdoor compressor sits near offices or loading docks. We had to add a fence around one unit because of the noise.

To be clear, I'm not against heat pumps. I just don't think they are automatic upgrades. If you already have a good window fan for summer and gas heat for winter, a heat pump might not pay for itself. If you need both cooling and heating from one system, and the winter design temperature is moderate, it can be a fair choice.

Step 5: Build in maintenance before you place the order

This is the step that most buyers skip. I skipped it in 2020. We chose a vendor because it had a low price on a portable air cooler. The vendor was 'flexible.' What I mean is they would negotiate on price but couldn't provide proper invoicing. Finance rejected the expense report, and I ate about $180 from the department budget. Now I verify invoicing and maintenance support before I buy anything.

Maintenance is more than changing a filter. For an ice machine, you need a cleaning solution and a written schedule. For a portable cooler, you need to empty the reservoir so bacteria don't grow. For a window fan, you need to remove dust and make sure it's mounted securely. For a heat pump, you need annual refrigerant and coil checks.

If you can't maintain it, the energy savings disappear. The cheapest window fan is still too expensive if it falls out of a window.

Step 6: Verify the lifecycle cost, not just the sticker price

When I compare cooling equipment, I use a simple spreadsheet. I include the purchase price, installation, roof or window modifications, estimated energy use, cleaning supplies, expected repairs, and downtime cost.

I want to say the last heat pump estimate was $14,000 installed. Maybe $13,500, I'd have to check. A window fan plus a portable air cooler was around $700. The heat pump had a much higher lifecycle cost, but it also did more. You can't compare them on price alone.

The same logic applies to ice machines. A standard commercial unit might cost $3,000 to $5,000. The cleaning solution, filters, and annual maintenance add a few hundred a year. If a cheaper machine isn't serviceable locally, one emergency service call can erase the savings.

The honest bottom line

There is no single best cooling product. There is only the right fit for your building, your climate, and your maintenance capacity.

If you just need a little air movement in one room, a window fan is probably enough. If you need a portable unit for a small, dry office, a Chillwell portable air cooler can work. If you run a kitchen or beverage business, a reliable ice machine like a Manitowoc unit—with a proper cleaning routine—is worth the extra money. If you need whole-building heating and cooling and you understand the cold-weather trade-offs, a heat pump may be the right call.

Even after we approved the heat pump for our south wing, I kept second-guessing. What if the backup resistance heat wasn't enough? The first cold week was stressful. It worked, but I wish I had asked the installer to show me the low-temperature data before the install, not after. That's the kind of honest detail I try to remember with every equipment purchase.
